Alumni Outreach Specialist

Duties

 Support chapter leaders and the work of the other alumni leaders to connect and engage alumni and provide on-going quality programs and events. Work with Assistant Vice Chancellor (AVC) and Senior Alumni Relations Specialist to ensure chapters have tools and resources to develop, track and remain on target with annual chapter plans. Following established protocols and in cooperation with administrative assistant, coordinate chapter and group requests for data from UA Foundation and chapter use of data—ensuring appropriate confidentiality agreements, use and maintenance of data. 

Work closely with the AVC, the AR Senior Alumni Relations Specialist and the Alumni Relations Communications Specialist to complete specific responsibilities related to Alumni Relations activities and events.

 Working closely with the Communication Specialist, and other University Relations staff ideas for content to be used in the alumni communications. The plan guides the production of materials to provide regular, reliable, consistent outreach to the broad base alumni audience through electronic communications, social media and other outlets. 

 Coordinate with Advancement Fiscal Office in managing the necessary paperwork for supporting alumni and chapter events and expenses: reimbursements, representational expense forms, reports to Budget and set up agency funds for chapters, as authorized by the AVC.
Following clear instructions, established protocols and regular routines, manage data collection, entry and scrubbing for measuring alumni engagement and progress (specifically Go.Help.Connect.Give) and alumni contact information in any databases used by UAA Advancement, including Raiser’s Edge. Working with UA Foundation data management staff, administer appropriate input of alumni information to the Raiser’s Edge database to ensure accuracy of alumni records including the facilitation of updates, relationship notes and actions in cooperation and coordination with UA Foundation and other UAA departments.Essential
60Serve as a point of contact, often the first, in engaging alumni. Using a well-developed best practices approach and established protocols, connect alumni with the active UAA alumni community that includes chapters, advisory boards, volunteer committees and tasks forces. Help individual alumni find a place to plug in to the alumni community. The outreach specialist will be expected to meet targets for recruitment of alumni to volunteer, attend events, join chapters and migrate to alumni giving portfolios.

Interested applicants should be able to demonstrate competency in helping recruit and collaborate with volunteers and the ability to prioritize workloads to meet deadlines, goals and objectives in a fast-paced environment.
